Business Administrator 

About the business:

Fermod, Inc. is a small company, based in Deerfield, IL. We are a subsidiary of a much larger European firm (Paris, France -based). Due to significant growth over the past year, we are looking for a Customer Service Administrator to come on board and join our growing business. This is a permanent position and requires someone who is comfortable handling any customer queries as well as database work with excel, running reports, and general office support. This role is 50-60% remote; the time being in the office set by the Managing Director.

About the position:

Working under the Managing Director, you will be responsible for providing daily administrative and customer service support to the company as well as liaising with key external stakeholders on a day-to-day basis. This position requires someone with a high mathematical aptitude as being able to manipulate mathematical measurements in your head is quite helpful and necessary when quoting our product. This position requires someone with experience using the Microsoft suite of products (predominantly excel and outlook), and Adobe Acrobat writer and reader, strong communication skills (both on the phone and through emails), experience working in a customer service or administrative role previously as well as the willingness to be able to work unsupervised, think critically, and communicate effectively while supporting the growth efforts of a small and dynamic company.

 

Key Responsibilities:

Reporting to the Managing Director, your role will be varied and include:

  • Generating quotations through the use of an application called Auto quotes (no experience required)
  • Use of our proprietary online software to layout custom drawings of our product for customer jobs. (High comfort level with math and ability to manipulate numbers in your head)
  • Answering and responding to incoming phone calls and emails from customers asking for information about our product, tracking information, and stock availability
  • Order entry and sending packing slips to the warehouse.
  • Order tracking number posting within QuickBooks (no experience required, but may be helpful)
  • Expediting orders by effectively and timely communication with our customers and warehouse personnel
  • “Light” collections – calling customers who are significantly late to gently remind them of overdue payments.
  • Creating and posting on our social media platforms
  • Other ad hoc customer service and administrative duties as required.

 

Skills/Experience

  • Excellent Customer Service skills
  • Intermediate knowledge of Microsoft Office
  • Strong verbal and written communication skills
  • Ability to work independently.
  • High degree of attention to detail and accuracy
  • Ability to work quickly, accurately, and independently.
  • Friendly, positive, and enthusiastic approach to work
  • Associates Degree or above required.
  • Spanish speaker
  • Have stable internet connection at home when working remotely.
